COVID-19 Policy

GENERAL INTRODUCTION

The Safety team at YOTTA has taken recognition of the document drawn up by the World Health Organization (WHO), sourced at https://www.who.int/docs/default-source/coronaviruse/getting-workplace-ready-for-covid-19.pdf wherein, the document sheds light on the way COVID-19 spreads, and the WHO’s advice on

We have, accordingly planned and implemented COVID-19 safety measures at various levels in YOTTA data center:

1.0 AT YOTTA MAIN GATE

  • Used by any person entering the DC campus (staff, visitors, customers, security personnel, contractor, OEM and other vendor personnel)
  • Average time spent at this location: 2 to 3 minutes.
  • Primary objective: The first of a series of 15 checkpoints. Here, we check the validity and identity of the person entering the campus. The vehicle and chauffeur are also checked. This gate is kept locked at all times, is manned by our security guards 24*7, and is under CCTV coverage.
  • COVID-19 checks: In addition to the above, the following COVID checks will be conducted:
  • Site Entry Requirements for Project team/ Permanent Occupants/ Tenant’s Temporary Visitors.
        1. All entrants to Project team/ Permanent Occupants/ Tenant’s Temporary Visitors should be vaccinated with minimum with single dose.
        2. If the above entrants are not vaccinated even with a single dose entry will be strictly denied to Project site and DC Facility.
        3. It is mandatory as per local regulatory requirements & Colo internal requirements
  • Every person must undergo temperature scanning by security guard each time they enter the campus. The temperature, though not absolute, can be a good marker for COVID-19. The check is done by hand-held IR thermometers. If the temperature is above 100.4 degree F, entry is denied.
  • It is mandatory to install Aarogya Setu. It is a digital service, primarily a mobile app, developed by the National Informatics Centre under the Ministry of Electronics and Information Technology. This App is checked at main entry for every entry. The visitor must be connected with the App servers and will have to show the green “you are safe” message on the App.
  • Medical grade hand sanitizer containing >70% alcohol is provided to all entrants by security guard and it is mandatory to sanitize your hand while being supervised by the guard.
  • COVID guidelines posters are displayed at the main gate for creating awareness among entrees.

After successfully completing the above, the gate is opened, and the person/ car is allowed entry into the campus.

2.0 AT YOTTA DATA CENTER RECEPTION

  • Medical grade hand sanitizers dispenser containing >70% alcohol are placed next to Baggage Scanner at the entrance and Security Guards ensure that it is used by all visitors. This is mandatory as per GOI directive. All hand rub dispensers across the building are filled when 1/4th empty.
  • The security guard ensures that every visitor is wearing an N95/ equivalent face mask. Entry to DC Facility is not permitted without wearing a Face mask. All persons are required to wear a mask for the duration of their stay in the premises, except for consuming food/ drinks at the cafeteria.
  • Only asymptomatic staff/ visitors are allowed. As per CDC guidelines updated as per December 31, 2020, staff or visitors will not be allowed to enter the DC past the screening area if any of the following are present:
      1. Symptoms of COVID-19
      2. Fever of 100.4 degrees Fahrenheit (oF) or higher or report feeling feverish
      3. Undergoing evaluation for SARS-CoV-2 infection (such as pending viral test)
      4. Diagnosis of SARS-CoV-2 infection in the prior 10 days
      5. Close contact to someone with SARS-CoV-2 infection during the prior 14 days
  • We are taking down contact details: mobile telephone number, email and address of each person entering the DC and this information is cross verified against the Aadhar card / other GoI documents. If they will not agree to this they cannot enter the DC.
  • If the visitor develops COVID-19 symptoms during his/ her stay at the center, Yotta will Immediately inform the nearest medical facility (hospital/ clinic) or call the state or district helpline, or the designated public health authority (district RRT/ treating physician) and accordingly further advice shall be made regarding management of case, his/ her contacts, and need for disinfection.
  • All frequent contact surfaces (e.g., reception desk, door handles, lift call buttons etc.) are wiped with Virex® II 256 Disinfectant Cleaner every 2 hours. Virex has a EPA and FDA certification and is one-step, quaternary-based disinfectant cleaner concentrate providing broad spectrum disinfection Covid guidelines posters are displayed at main entrance of reception.

3.0    STAFF & CUSTOMER OFFICE/ SITTING AREA & MEETING ROOMS

  • Our workplaces are kept clean and hygienic by the team of around 54 house-keeping staff.
  • The entrance for the regular staff and OEM staff/construction and fit-out workers at site is kept separate to minimise cross-infection between these two groups.
  • All frequent contact surfaces are wiped with Virex® II 256 Disinfectant Cleaner
  • Auto dispensing no-contact Hand Sanitizers dispensers are placed at prominent locations and maintained and filled by Housekeeping team.
  • The biometric portion of all door access readers have been disabled throughout the building, and access is activated by using access card only. This has also been enforced at the attendance readers.
  • Covid guidelines posters are displayed at Office sitting area and in meeting rooms. Posters promoting hand- washing are displayed both at the seating area, restrooms and at the cafeteria.
  • As per CPWD guidelines, for air-conditioning/ventilation, the guidelines are being followed which inter alia emphasises that the temperature setting of all air conditioning devices should be in the range of 24-30oC, relative humidity should be in the range of 40- 70%, intake of fresh air should be as much as possible and cross ventilation should be adequate.
  • Blue bins with tight lids are available on each floor for disposing used and discarded PPE like masks, gloves etc. These are separately packed and disposed by the cleaning team.

4.0      CAFETERIA

  • All frequent contact surfaces are wiped with Virex® II 256 Disinfectant Cleaner by housekeeping team after every meal time.
  • Auto dispensing no-contact Hand Sanitizers dispensers are placed at prominent locations in the Cafeteria.
  • Seating arrangement has been made in such a way that adequate social distancing is maintained. The distance between tables has been increased, and number of chairs per table reduced to maintain social distancing and this is enforced by the security team. The seating arrangement is now at a distance of at least 1 meter between seats.
  • Staff / waiters wear masks and hand gloves and take other required precautionary measures.

5.0    LIFT, AND LIFT LOBBY

  • Lift surface, contact buttons are wiped with Virex® II 256 Disinfectant Cleaner by housekeeping team every two hours.
  • Medical grade hand sanitizers dispenser containing >70% alcohol are placed at the Lift Lobby. Covid guidelines posters are displayed at Lift Lobby.
  • Number of people in the elevators is restricted
  • Occupancy of each elevator is restricted to one operator + 4 passengers, and social distancing is maintained in the elevator through markings on the lift floor.

6.0    TRAVEL AND COVID RECOVERY

  • All employees are advised to travel inter-city and intra-city only if absolutely necessary.
  • WHO guidelines for before, while, and after travel have been informed to all employees who need to travel. Most sales and other internal meetings have been shifted from on-prem to online avenues like Team and Zoom, and work from home is mandatory for all non-technical staff.
  • We advise employees and contractors to consult national travel advice before going on business trips.
  • For technical maintenance staff coming to the DC, if COVID-19 starts spreading in their community anyone with even a mild cough or low-grade fever (37.3 C or more) needs to stay at home. Such staff will be able to count this time off as sick leave.

7.0    MATERIAL ENTRY INTO THE DATA CENTER

As per the guidelines issued by the Ministry of Road Transport and Highways, dated 1st May 2020, point no. 3, movement, loading/unloading of goods/ cargo, inter and intra state is allowed. Hence we can see a sizable amount of material delivery at our data center. Yotta has made the following provision:

  • Covid virus survives on various material for various time periods. Most studies indicate that the virus survives on cardboard for 24 hours. As most packaging is cardboard, all non-essential material will be placed in isolation for a 48-hour period before it is moved to stores/server floor.
  • Where possible, the outer cardboard packing will be wiped down with a disinfectant, and where possible, it will be opened either under OEM/customer/CCTV supervision and discarded outside of Yotta premises.
  • The inner packing content is retained, sanitised, and contained for 48 hours.
  • Where the packing cannot be opened or discarded for warranty purposes, a waiting time of 48 hours in an isolated material handling spot is to be maintained.
  • The team receiving and sanitizing the material show wear PPE which should be discarded after each consignment.
  • All contact surfaces in the goods area – material entry gate, security gate, receiving area, holding area should also be wiped down twice a day to prevent infection.
  • Where material is directly been taken to the server floor due to emergency maintenance services, the OEM engineers and internal/external team handling the installation be noted for contact tracing. All material contact areas should be disinfected post installation.
  • If the driver and other members of the transport/logistics company displays symptoms of Covid, contact details should be obtained and they should be reported to the health authorities as per the Government directives at that time.

8.0    AT YOTTA VENDOR GATE

9.0    PARKING:

  • Drivers shall maintain social distancing during their stay at the parking lot, and during cafeteria meals.
  • As per Government advisory, drivers residing in containment zones shall not be allowed to drive vehicles.
  • We have provision for disinfection of the interior of the vehicle using 1% sodium hypochlorite solution/ spray. A proper disinfection of steering, door handles, keys, etc. should be taken up. Both footpump type and aerosol can types are available.

10.0 TRAININGS AND PPE

  • All the Security & housekeeping teams are well trained about Covid19 guidelines.
  • All staff, contractors, and customers are offered guidance from our internal health and safety officers, and all workers at the active site area have briefings at the Tooktalk meetings on Covid-19 information, sanitisation and hand-washing
  • Face shield with hand gloves have been provided to security guards interacting with Visitors, Vendors, Laborer.
  • All housekeeping teams are provided with Face mask , Face Shield & hand gloves.

11.0    MEDICAL FACILITY AT Yotta

  • We are taking down contact details: mobile telephone number, email and address of each person entering the DC and this information is cross verified against the Aadhar card /other GoI documents. If they will not agree to this they cannot enter the DC.
  • Stocks of PPE, N95 face masks, face shields, white and violet hand gloves (rubber and nitrile) is available both at the ground floor reception and the administration department.
  • We have a full-fledged ambulance stationed inside the DC parking 24*7 with oxygen cylinder etc. Trained paramedic and driver is available at the ambulance location.
  • We have a doctor in attendance every alternate day, and each OEM vendor team takes turns to get themselves checked. However, any one not feeling well is free to immediately contact the doctor for further course of action.
  • We have kept ready a fully contained room with its own toilet, where, someone who is feeling unwell or has symptoms can be safely isolated
  • We have a tie-up with the primary health center, and for secondary care with our own Hiranandani hospital
    for patient reference in case persons fall sick during their presence at the Data Center. Staff can be safely transferred from our DC to the health facility via our own ambulance.
  • if someone becomes ill with suspected COVID-19 at the data center, they are isolated from others in the workplace, and transported to the health centers.
  • Disinfection procedure in case of COVID detection is as per the BMC guidelines.
  • Contact management and risk profiling of contacts will be done as per local government protocol available at that time.
  • Any person re-joining work after a COVID episode needs to submit a RTPCR test taken not later than 72 hours back.
  • Our HR team has addressed the mental health of the staff through various programs run frequently, and in case of COVID-19 in the workplace or at home, all help and support is provided to ensure that the member does not go it alone during the hospitalization and recovery.
